Timbed stands first in the chain. When a report arrives it is read by someone outside the organisation, who can therefore say something about it without having an interest in the answer.
The assessment covers three things: how serious it is, how quickly it needs to be acted on, and whether anyone inside the company should be kept away from the case. The last of those is the one most often missed, and the one that does the most damage when it is.
The case then goes to the right person internally with a recommendation for the next step. Optional additions: a full case screening with a written report, and assistance with the investigation itself.
Timbed is currently the first recipient for more than 40 Nordic companies.
Where the experience comes from
Ken Graversen built the whistleblowing scheme at Danfoss, back when a scheme still had to be approved by the Danish Data Protection Authority. It was one of the first private schemes in Denmark, and it was where the work on whistleblowing cases began.
Since 2008 he has personally handled more than 1,100 cases, across the organisations he has worked for. It is the kind of experience that is hard to build from within, because a single Danish organisation rarely sees enough cases for it.
Questions we get
- Who receives the report first?
- Timbed does, and that is the whole point. An impartial first assessment cannot be made by the people the case may be about.
- How quickly do we hear back?
- Within two working days, and no later than seven calendar days. That is what the agreement says, and that is what applies.
- Do we need a data processing agreement with you?
- No. Timbed is an independent controller for the screening, not a processor, because the assessment is an independent professional judgement made without instruction. Asking a supplier for a processing agreement here means the roles have not been understood.
- What if the report falls outside the scheme altogether?
- The unit is always told, and the work is always invoiced. The assessment is the same either way, and the assessment is what is being paid for.
